What should a multi-site facilities report include?

By Progress Services Group · Last reviewed 30 October 2026

Short answer

A good multi-site report shows every site on the same measures: attendance against schedule, inspection scores, requests raised and closed, compliance status and trends over time. It should highlight the sites that need attention and be easy for head office and local managers to read.

The core measures

  • Attendance: shifts scheduled against shifts completed.
  • Inspection scores and the defects found.
  • Requests and work orders: raised, in progress and closed, and how long they took.
  • Compliance: licences, insurances and safety tests due or overdue.
  • Incidents and near misses, with corrective actions.

Make it comparable

Use the same layout and scoring for every site so comparisons are fair. Show a trend line, not just this month.

Show what needs action

A good report starts with exceptions, such as sites below target, overdue tasks and repeat faults, rather than burying them in totals.

Give each audience the right level

  • Head office: portfolio summary and exceptions.
  • Regional managers: their sites compared with each other.
  • Site managers: detail for their own site.

Reports that write themselves

When attendance, inspections and requests are captured digitally as the work happens, the monthly report can be produced from the same record. This is how FlowLog works, and clients see the same data our managers use.

Frequently asked questions

How often should I get a report?

Monthly is common for portfolio reporting, with real-time access to the underlying data for day-to-day questions.

Can I get the data in a spreadsheet?

Ask your provider what export options exist. It is useful to confirm this before you sign.
