Is it better to use one facilities provider or several specialist contractors?

By Progress Services Group · Last reviewed 30 October 2026

Short answer

One integrated provider is usually easier to manage, with one contract, one point of contact and joined-up reporting. Several specialists can suit sites with very specific needs and strong in-house management. The right choice depends on how many sites you have and how much time you can spend managing contractors.

Where one provider works well

  • You have several sites or a portfolio.
  • You have a small or no in-house facilities team.
  • You want one invoice, one report and one contact.
  • You want issues between scopes, such as a leak that damages flooring, handled by one team.

Where separate contractors can work

  • You have one or two sites with an experienced in-house manager.
  • You need a highly specialised service, such as a particular type of plant.
  • You want to compete each service separately on price.

Hidden costs of many contractors

Each extra contractor adds procurement, insurance checks, invoice processing, meetings and coordination. These costs are rarely in the quote but they are real.

A middle path

Many clients use one integrated provider for the core services and keep a small number of specialists for specific plant or equipment, with the provider coordinating access and records.

Questions to ask yourself

  • How many hours a week do we spend managing contractors?
  • Who is accountable when a problem crosses two scopes?
  • Can I produce a single compliance record today?

Frequently asked questions

Is one provider more expensive?

Not necessarily. Compare the total cost, including your own management time, not only the price of each service.

Can I still use my own preferred trades?

Many providers will work with nominated contractors. Agree how they are inducted, insured and reported on.
