To get an accurate quote, have ready the address and type of each site, its floor area, the hours it can be accessed, how often you want each service, any compliance requirements, and a copy of your current scope or contract if you have one. The more you can share up front, the less guesswork there is in the price.
The basics
- Site address and type, for example office, shopping centre, school, clinic, strata or warehouse.
- Approximate floor area, number of floors and washrooms.
- Access hours and any restrictions, such as trading hours or secure areas.
- How often you want each service: daily, nightly, several times a week, weekly or periodic.
- Your preferred start date.
Cleaning details
- Floor types, such as carpet, vinyl, tile or polished concrete.
- Special areas such as kitchens, food courts, medical rooms or gyms.
- Periodic needs such as carpet extraction, window cleaning and pressure washing.
- Whether consumables such as paper and soap are supplied by you or by the provider.
Maintenance and facilities management details
- An asset list or recent condition report, if you have one.
- Current maintenance and compliance contractors and when contracts end.
- Fire safety and essential services records.
- Any recurring faults, repeat call-outs or compliance gaps you know about.
For multiple sites
Give a list of sites with state, sector and size. A simple spreadsheet is enough. Tell us whether you want one invoice, one report and one contact for the whole portfolio.
If you do not have everything
You do not need all of this. A site walk-through fills the gaps. Send what you have and tell us what you do not know.
Frequently asked questions
Do I need a formal specification?
No. If you have one, share it. If not, a walk-through and a conversation are enough to draft a scope.
Can you quote against my current contract?
Yes. Sharing the current scope and frequency lets a provider quote like-for-like, which makes prices easier to compare.
